A Beginner’s Guide for Builders to Save Time and Improve Communication with AI
Artificial intelligence (AI) is rapidly becoming ingrained into numerous parts of daily life for many people, including those who build homes as well as those who buy them.
While some have been quick to adopt AI into their personal lives and business practices, others are doing so much more gradually — or not at all — because many may feel skeptical or intimidated.
“But with the right training, AI users can quickly become less overwhelmed and more able to leverage AI as a tool to save time, improve communication, and simplify their projects,” said Sara Williams, founder and president of Aras&Co., a consulting firm for builders and industry professionals.
AI for Builders
Especially for those in the home building industry, Williams, who has more than 20 years of experience in builder sales, marketing and technology, says AI can be extremely valuable in a variety of ways, such as:
- Writing clearer emails to clients and team members
- Explaining technical details in plain language
- Creating checklists and punch lists
- Organizing tasks and notes
AI for Buyers
Williams notes it is important to consider that many prospective buyers and clients are already using AI to research builders, materials, timelines, and costs before they even contact the builder.
Because of this, they’ve become increasingly accustomed to fast response times and clearer answers. If they receive information that is delayed, confusing or inconsistent, Williams says their level of trust can drop quickly and they’re likely to do business with someone else.
“They certainly don’t want to feel like they’re communicating with a robot, but they still expect that enhanced level of communication,” she said. “They want to understand the process. They want updates that make sense. And they want fewer surprises.”
Putting AI to Work
Many AI tools are available that can help explain product options, project timelines, and potential timelines in clear and concise ways without adding extra work for the build team. And there’s no need to be particularly tech savvy – several tools work particularly well for beginners.
Williams highlights some of the more popular and user-friendly platforms include ChatGPT, Claude and Perplexity. Each has its strengths and can provide support in myriad ways.

Learning the basics of AI now will help prepare business owners to meet client expectations in the future. “Taking an ‘AI 101’ approach is an important first step, Williams said. “It removes fear, builds confidence, and shows how AI can support real work across construction roles and trades.
This month, Williams will lead a weekly series of free webinars exclusively for NAHB members that will offer a simple, practical introduction to AI. The three-part series kicks off with:
- AI Foundations for Home Builders (AI 101) on Wednesday, Jan. 14. The session is designed for building industry professionals who want to understand AI — but without the jargon — and learn how to start using it right away.
Two additional sessions will build on basic concepts discussed in AI 101 to explore more ways AI can support communication, organization, and day-to-day work:
